Hotel Packages FAQ



I will not have the credit card that was used to purchase my ticket/package. What do I need to do to be able to pick up my tickets?

If the package was placed under your name at will call, we ask that you please bring your confirmation emails as well as your identification. If your order is under another will call name we ask that you please contact Valley Music Travel customer service for assistance. You can email customer service at info@valleymusictravel.com, or call 1-888-833-1031.



What does "Will Call" mean?

Will Call is the table in the hotel lobby where you pick up your festival tickets and/or shuttle passes. Whichever hotel you are riding from (the hotel you selelcted on our page) is where you will pick up your tickets, shuttle passes, and any other pertinent info pertaining to your stay.

How long will it take to pick up our credentials at the hotel and be able to go to the festival?

Even at peak times, the process should not take much longer than 15 mins to pick up your credentials. We will have ample staff to ensure a quick check in process. Most times you will be able to just walk up to our table, and receive your credentials in less then 5 minutes.

Are room upgrades available?

Room upgrades are not available through Valley Music Travel. If you would like a suite we suggest that you book through the hotel directly and purchase your shuttle passes through us.

How long will it take to get to the festival from my hotel?

While we have taken many precautions in order to circumvent festival traffic, we cannot account for area traffic or weather delays. However, we have several routes to and from the grounds that avoid most festival traffic and will get you there and back as quick as possible every time.

Can more than two people stay in a hotel room?

Up to 4 can stay in a hotel room, but please pay attention to the bed type selected as we may not be able to change the bed type you select.

Can our room be next to our friends?

Please contact us and we will do our best to put you as close to, or next to your friends.

Can our rooms be connected to our friends?

Connecting rooms are rare, but we will do our best if you contact us immediately after both rooms are booked to put you in connecting rooms.

Can we check in early to the hotel?

Hotel check in time is not guaranteed until 3 PM. We have communicated with each of our hotels and they have assured us that they will do everything in their power to get our rooms in as early as possible (noon is most likely the earliest). However, if the hotel is sold out or close to sold out the night before, early check in will be difficult.

How do the deposits work for the Hotel travel packages?

Non-refundable 33% deposits are due on the day you reserve your travel package. The remaining two payments will be processed by Frontgate - 33% on January 10th and 34% on March 5th. The exact amount that is still due, and the process by which the rest is collected will be reflected in your confirmation receipt. The final payment will be automatically deducted from the same card you used to place your deposit by Frontgate.  If you lose your card, your card gets stolen, or you would like to put the remainder of the payment on a different card, please call Frontgate at (888) 512-7469.



Local Hotel Shuttles FAQ

 

How often will the shuttles run?

Shuttles will run continuously to and from the festival grounds from 11am until 60 minutes after the show ends. Each hotel will have a "Shuttle coordinator" that will be available to you to answer any questions about when and where you can board the next bus to the festival. Buses will be running constantly throughout the day, so no worries, you'll always be able to get to and from the festival grounds.

Can we purchase one of the Local Area Hotel Shuttles even if we are not staying at one of the hotels on the line?

Yes you can. Choose the Hotel shuttle pass that is closest to your hotel. That hotel is where you will be picked up and dropped off, and where you will be picking up your shuttle passes and/or festival tickets.

Can I change my shuttle line?

Yes, you can change your shuttle line by calling (888) 833-1031 until March 3rd. After this date no changes will be permitted.

How will I know what shuttle to take at the end of the night?

All shuttles will be clearly marked with the hotel that specific bus is going to. There will also be VMT staff to direct you to the correct waiting area. Your shuttle line will be labeled as a zone and color coordinated with your wristbands.

How long will the wait be right after the show is over to get back to our hotel?

We cannot accurately predict exactly how long it will be, but please be assured that we will work very hard to get the buses out as quickly as possible. Again, it is our goal to keep you satisfied throughout the weekend. We will have our full fleet of vehicles running directly after the show to ensure little or no wait and to get you back to your hotel in a timely manner.

Can we buy a shuttle pass at the hotel when we check in?

Most likely our shuttle passes will be sold out by April 27th. Please buy your passes early so we can best accommodate you.
